How Arva handles your information
Last updated 2026-10-14
This notice says what happens to the information you give when you ask Arva for a time, write to its assistant, or call its Akosi number.
Who is responsible
Arva decides how your booking information is used, so Arva is responsible for it (the controller). Arva uses Akosi, a booking service run by HAND Protocol, to take requests, send messages, and keep its booking records. HAND Protocol handles your information only to run Akosi for Arva, and only as Arva instructs (the processor).
What is collected
- Your name, and the email address or phone number you give, or both.
- The booking: the service, the time you asked for, the place for a visit, and whether it is requested, confirmed, changed, or cancelled.
- What you type: a note, and your answers to the questions the service asks.
- Only if Arva turned them on: the text of a chat with Akosi's assistant (on the web, in Telegram, or in WhatsApp), the text of a phone call to Arva's Akosi number, and the text of voice notes you send. Calls and voice notes are turned into text; no audio is kept.
- The internet address your request came from, to stop abuse.
- A record of the messages sent to you, and of any request to stop them.
Do not put health details in a note or an answer. The form does not ask for them, and they are not needed to book a time.
Why
- To pass your request to Arva, and to tell you what happens to it: confirmed, changed, declined, cancelled, or a reminder before the time.
- To let you change or cancel it with the link in your email.
- To keep the records Arva needs to run its business.
- To keep the service safe from abuse.
Through Akosi, your information is never sold, never shared for advertising, and never used to train AI models.
How long it is kept
- Your note, your answers, the place, and the text of chats, calls, and voice notes: deleted 30 days after the booking ends or is cancelled (a chat 30 days after it was written).
- The internet address of your request: cleared after 30 days.
- The text of the messages sent to you: deleted 30 days after they went out.
- Your name, your contact details, and the times and status of your bookings: deleted 13 months after your last booking ended. If Arva saved a copy before then, that copy is kept under Arva's own rules.
- A log of changes (which booking, which status, when) with no names or notes: kept 2 years.
- The links in your emails stop working once the booking is over.
Who else handles it
Arva sees your bookings and messages in its Akosi console. Nobody at HAND Protocol reads them, and HAND's own AI tools cannot reach them. The one exception: a named person helping Arva with a problem may look for a limited time, and Arva can see who looked and why.
These companies do part of the work for Akosi, each only for its own purpose:
- OVH: hosts the Akosi server and its database.
- Resend: sends Akosi's emails.
- Anthropic: runs Akosi's assistant: it reads what you write or say to the assistant and writes the replies. Only if Arva turned the assistant on.
- Telegram: carries the messages when you or Arva use Akosi in Telegram.
- Meta (WhatsApp): carries the messages when you or Arva use Akosi in WhatsApp.
- Twilio: answers calls to Arva's Akosi number, turns what you say into text, and speaks the replies. Only if Arva turned calls on.
- Deepgram: turns the voice notes you send into text. Only if Arva turned the assistant on.
Your information goes beyond this list only when the law requires it.
The assistant is automated
Akosi's assistant is a computer program, not a person. It says so when a chat or a call begins, and it tells you the truth if you ask. It can suggest a time or a change, but it never books, changes, or cancels anything by itself: you or Arva confirm with a button, or by saying yes on a call, and Arva confirms every request.
If you want a person, say so, or contact Arva directly.
In a team's group chat, Akosi reads only the messages meant for it: commands, replies to it, and taps on its buttons.
Messages, and how to stop them
- Booking emails are about your booking only: the request, the answer, changes, and reminders.
- Texts and chat messages go only to a number or a chat you gave for the booking, or that you agreed to.
- To stop texts, reply STOP. To stop chat messages, send STOP or block the bot. To stop reminder calls, press 9 during the call. To stop emails, use the contacts below.
- A stop takes effect before the next message is sent.
Your choices
You can ask to see the information about you, to correct it, or to delete it. Ask Arva, or write to privacy@handprotocol.org and HAND Protocol will pass your request to Arva and help it answer. Asking costs nothing and does not change how Arva treats you.
A parent or guardian books for a child.
Keeping it safe
Your information travels encrypted. Each business's records are kept apart in the database, so one business cannot see another's. Keys and email links are stored in a form that cannot be read back.
